Privacy Policy
Last updated: 14 October 2026
This policy explains how Florian Gatwick Transfers Limited, trading as ZIMUS Executive Travel ("we", "us"), collects, uses and protects your personal information when you visit this website, send us a journey enquiry or travel with us.
1. Who we are

Registered office: 23 Holmbush Mews, Faygate, Horsham, RH12 0AZ, England

We are the data controller for the personal information described in this policy.
2. Information we collect
When you send an enquiry by WhatsApp, email or telephone, or when you book and travel with us, we may collect:
- your name and contact details (telephone number, email address);
- for business account applications, your company name, registration details, business contact and requested billing arrangements;
- journey details: pick-up and destination addresses, date, time, number of passengers and luggage;
- flight numbers and travel arrangements, so we can monitor arrivals and time your collection;
- any additional details you choose to share, such as accessibility requirements or child seat needs;
- booking, payment and invoicing records (we do not store full card numbers);
- correspondence between you and us.
The journey enquiry form passes your details to your own email or WhatsApp app; it reaches us only if you choose to send the message. The corporate account application form sends the details you enter to us by email through our website host, IONOS. It does not create an account automatically or save the application in a website database. We handle the resulting email as business correspondence and keep it only as long as needed to assess and manage the enquiry, subject to any legal obligations.
3. How and why we use it
- To prepare quotes, confirm and carry out your journey: this is necessary to take steps at your request before entering into a contract, and to perform that contract.
- To keep booking records required of a licensed private hire operator: this is necessary to comply with our legal obligations and licensing conditions.
- To manage invoicing, accounts and tax: legal obligation and contract.
- To handle queries, complaints and account arrangements for businesses: our legitimate interest in running and improving our service.
We do not sell your information and we do not use it for unsolicited marketing.
4. Who we share it with
We share personal information only where necessary:
- Licensed chauffeur partners, when a carefully selected partner fulfils your journey. They receive only the details needed to complete it.
- Service providers who support our business, such as WhatsApp (Meta), our email and website hosting provider (IONOS), and our accountant.
- Authorities, such as our licensing authority (Reigate & Banstead Borough Council), the police or HMRC, where we are legally required to do so.
5. International transfers
Some providers, such as WhatsApp and Google (which supplies the fonts used on this website), may process data outside the UK. Where this happens, the transfer is covered by appropriate safeguards recognised under UK data protection law.
6. How long we keep it
We keep booking records for the period required by our private hire operator licensing conditions, and financial records for as long as tax law requires (normally six years). Enquiries that do not lead to a booking are deleted once they are no longer needed.
7. Cookies
This website does not use advertising or analytics cookies and does not track you. Fonts are loaded from Google Fonts, which means your browser connects to Google's servers and shares your IP address with them.
8. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you;
- ask us to correct inaccurate information;
- ask us to delete your information, where we are not legally required to keep it;
- object to or ask us to restrict certain processing;
- receive your information in a portable format, where applicable.
To use any of these rights, contact us at info@floriangatwicktransfers.co.uk. We will respond within one month.
9. Security
We take reasonable technical and organisational measures to protect your information, and we limit access to those who need it to deliver your journey.
10. Complaints
If you have concerns about how we handle your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page.
